PlayerAQ Privacy Policy

This Privacy Policy explains how PlayerAQ, Inc., a Delaware corporation ("PlayerAQ," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when people use PlayerAQ's websites, web application, mobile applications, APIs, support services, and related services (collectively, the "Service").
PlayerAQ is built for sports organizations, including schools, colleges, clubs, youth sports organizations, and similar athletic organizations ("Organizations"). Organizations use PlayerAQ to create programs and teams, manage rosters, upload or import sports materials, build trainings, deliver mobile training experiences to athletes and players, and review training analytics.
This Privacy Policy applies to administrators, coaches, staff, athletes, players, parents, guardians, website visitors, billing contacts, and other users.
PlayerAQ may make the Service available in the United States, Canada, and other countries. This Privacy Policy is intended to describe our practices for U.S. and Canadian users. Additional terms may apply through an Organization's contract, school data protection agreement, app store terms, or local law.
1. Our Role
For most Organization accounts, PlayerAQ processes personal information on behalf of the Organization to provide the Service. The Organization decides which users are invited, what team materials are uploaded, what trainings are assigned, and how training results are used.
For some information, such as website analytics, account administration, billing, security, support, and legal compliance, PlayerAQ may act as an independent controller or business.
If your account is provided by an Organization, you should also review that Organization's notices and policies. Requests about access to team records, roster information, training assignments, or account removal may need to be handled through the Organization.
2. Information We Collect
We collect information in the following categories.
2.1 Account and Profile Information
This may include name, email address, phone number, role, team, program, Organization, login credentials or authentication identifiers, profile settings, invitation status, and account activity.
2.2 Organization, Program, Team, and Roster Information
This may include Organization name, school or club name, sport, team name, roster entries, coach and administrator information, athlete or player names, positions, jersey numbers, class year or graduation year, team assignments, and similar team-management information.
2.3 Training and Performance Information
This may include assigned trainings, training progress, game-like quiz responses, completion status, scores, streaks, attempts, timestamps, leaderboard information, engagement metrics, learning activity, and analytics generated from use of the Service.
2.4 Uploaded, Imported, and Generated Content
This may include playbooks, play diagrams, practice plans, game plans, scouting reports, film, clips, images, documents, notes, annotations, labels, tags, comments, messages, imported files, and content generated by the Service from those materials.
2.5 Billing and Commercial Information
This may include billing contact name, title, email, Organization, billing address, plan, subscription type, invoice details, purchase history, payment status, tax information, Stripe customer identifiers, and payment processor metadata.
PlayerAQ uses payment processors such as Stripe for card payments and invoice billing. We do not intentionally store full credit card numbers. Payment processors may collect payment card numbers, bank information, billing details, fraud signals, and related payment information under their own terms and privacy policies.
2.6 Device, Usage, and Technical Information
This may include IP address, device identifiers, browser type, operating system, app version, device type, language, approximate location derived from IP address, pages or screens viewed, clicks, interactions, referring pages, log data, crash reports, diagnostic information, and security events.
2.7 Communications and Support Information
This may include emails, support tickets, chat or help requests, survey responses, feedback, call notes, and other communications with PlayerAQ.
2.8 Mobile App Permissions
The mobile app may request permissions such as notifications, camera, photos, media library, microphone, or files when needed for app functionality. Permission availability depends on the user's device and settings. Disabling permissions may limit features.
For Canadian users, installing or enabling the mobile app and its optional permissions is intended to be based on clear notice of the app's functions and the user's or Organization's authorization, subject to applicable law.
3. Sources of Information
We collect information:
- directly from users;
- from Organizations, administrators, and coaches;
- from uploaded or imported files;
- from connected third-party services authorized by an Organization or user;
- from payment processors;
- automatically from browsers, devices, cookies, logs, and similar technologies;
- from service providers that help us operate the Service.
4. How We Use Information
We use personal information to:
- provide, operate, maintain, and secure the Service;
- create and manage accounts, programs, teams, rosters, and roles;
- convert team materials into trainings and related mobile experiences;
- assign, deliver, personalize, and measure trainings;
- generate analytics, reports, progress views, leaderboards, and completion metrics;
- process subscriptions, invoices, payments, taxes, and billing support;
- provide customer support and respond to requests;
- send service messages, product updates, security notices, and administrative communications;
- troubleshoot, debug, monitor, and improve reliability;
- prevent fraud, abuse, unauthorized access, and security incidents;
- understand feature usage and improve the Service;
- create aggregated or de-identified data that does not identify an individual, school, Organization, team, or athlete;
- comply with law, enforce our Terms, and protect rights, safety, and security.
We do not use identifiable student personal information to target advertising to students, sell student personal information, or build student profiles for unrelated commercial purposes.
5. Student Data, Schools, FERPA, and COPPA
PlayerAQ may process student personal information when the Service is used by schools, school districts, colleges, universities, or other educational Organizations.
Where information provided to PlayerAQ by an educational institution is an education record under FERPA, PlayerAQ will process that information to provide the Service to the educational institution and as otherwise authorized by the institution, applicable law, or a written agreement. PlayerAQ will use reasonable administrative, technical, and physical safeguards designed to protect such information.
The Service is not available to children under 13. Organizations must not invite, authorize, or permit children under 13 to create accounts or use the Service. If PlayerAQ learns that an account belongs to a child under 13, PlayerAQ may suspend or delete the account and associated personal information, subject to legal, security, and backup requirements.
Parents, guardians, and eligible students who want to access, correct, or delete student information associated with an Organization account should contact the Organization first. PlayerAQ will reasonably assist the Organization in responding to valid requests where required by law or contract.
For K-12 school use, PlayerAQ's commitments include:
- no sale of student personal information;
- no targeted advertising to students based on student personal information;
- no use of student personal information to create unrelated commercial profiles;
- no use of identifiable student personal information to train artificial intelligence or machine learning models;
- no disclosure of student personal information except to provide the Service, as directed by the Organization, with service providers, for security or legal reasons, or as otherwise permitted by law;
- deletion or return of student personal information upon valid Organization request, subject to legal, security, backup, and legitimate operational requirements.
6. How We Disclose Information
We may disclose information in the following circumstances.
6.1 Within an Organization
Information may be visible to administrators, coaches, staff, athletes, players, or other Authorized Users according to account settings, roles, team membership, and Service functionality. For example, coaches may view roster information, training assignments, scores, completion status, and analytics.
6.2 Service Providers
We disclose information to vendors that help us provide the Service, such as cloud hosting, database, authentication, payment processing, billing, analytics, customer support, email, logging, monitoring, security, file storage, and app infrastructure providers. These providers may use information only to provide services to PlayerAQ or as otherwise permitted by their agreements with us.
For example, PlayerAQ uses Supabase as a backend platform for database, authentication, storage, APIs, and related infrastructure. Personal information and Organization Content stored or processed through the Service may be stored or processed using Supabase infrastructure, subject to PlayerAQ's configuration, Supabase's applicable service terms, and any data processing terms in place between PlayerAQ and Supabase.
6.3 Payment Processors
Billing and payment information may be disclosed to Stripe or other payment processors to process card payments, invoice billing, subscriptions, taxes, fraud prevention, and payment support.
6.4 Third-Party Integrations
If an Organization or user connects a third-party service, PlayerAQ may exchange information with that service as authorized. For example, an Organization may import sports materials from a connected sports platform. Third-party services are governed by their own terms and privacy policies.
6.5 Legal, Safety, and Security
We may disclose information when we believe disclosure is reasonably necessary to comply with law, legal process, government requests, enforce agreements, protect rights and safety, investigate security incidents, prevent fraud or abuse, or protect the Service.
6.6 Business Transfers
We may disclose or transfer information in connection with a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction. We will take reasonable steps to require the recipient to honor applicable privacy commitments.
6.7 With Consent or Direction
We may disclose information with the consent or direction of the Organization, user, parent, guardian, or other authorized person.
7. Cookies and Similar Technologies
PlayerAQ may use cookies, local storage, pixels, SDKs, and similar technologies to operate the Service, remember settings, keep users signed in, secure accounts, measure usage, diagnose issues, and improve the Service.
Browser settings may allow users to block or delete cookies. Blocking cookies may prevent parts of the Service from working correctly.
PlayerAQ does not use student personal information for targeted advertising. If PlayerAQ uses marketing cookies on public websites, those cookies will be separated from logged-in student experiences and configured to respect applicable consent and opt-out requirements.
8. Analytics and Product Improvement
We may use usage analytics to understand how the Service performs and how users interact with features. For school and student contexts, analytics are used to provide, secure, support, and improve the Service and not to target advertising to students.
We may use aggregated or de-identified information for product improvement, research, benchmarking, analytics, and business operations. We will not attempt to re-identify de-identified data except to test whether de-identification is effective or as permitted by law.
If PlayerAQ uses artificial intelligence or machine learning systems to generate trainings, quizzes, summaries, labels, recommendations, or other Service features, we process input and output data only to provide and support those requested Service features. PlayerAQ does not use identifiable student personal information to train artificial intelligence or machine learning models.
9. Data Retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain accounts, comply with legal and accounting obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations.
Retention periods depend on the type of information, the Organization's settings or contract, legal requirements, backup schedules, and operational needs.
When an Organization requests deletion or export of Organization Content or student personal information, PlayerAQ will process the request according to the applicable agreement, law, and technical limitations. Some information may remain temporarily in backups, logs, audit records, billing records, fraud-prevention records, or legal compliance records.
10. Security
PlayerAQ uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, destruction, loss, alteration, misuse, and disclosure.
Security measures may include access controls, authentication, encryption in transit, monitoring, logging, least-privilege access, vendor review, and operational controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Organizations and users are responsible for using strong credentials, protecting account access, configuring permissions appropriately, and promptly reporting suspected unauthorized access.
11. Privacy Choices and Rights
Depending on location and relationship to PlayerAQ, users may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or opt-out of certain processing.
Requests can be sent to legal@playeraq.com. We may need to verify identity and authority before fulfilling a request.
If your account is controlled by an Organization, we may refer your request to that Organization or require the Organization's instruction before changing or deleting information.
Authorized agents may submit requests where permitted by law, subject to verification.
12. U.S. State Privacy Disclosures
Certain U.S. state privacy laws require additional disclosures.
PlayerAQ may collect the categories of personal information described in Section 2, including identifiers, commercial information, internet or electronic network activity, education-related information, approximate geolocation, audio/visual content if uploaded, and inferences or analytics derived from Service use.
PlayerAQ discloses personal information for the business and operational purposes described in Sections 4 and 6.
PlayerAQ does not sell student personal information. PlayerAQ does not knowingly sell or share personal information of children under 16.
If PlayerAQ engages in targeted advertising or sale/share activities on public marketing websites, eligible users may have the right to opt out. PlayerAQ will provide a "Your Privacy Choices" link or equivalent mechanism where required by applicable law.
13. International Users
PlayerAQ is operated primarily from the United States. Information may be processed in the United States and other countries where PlayerAQ or its service providers operate. These countries may have privacy laws different from those in the user's location.
If PlayerAQ offers the Service to users in the European Economic Area, United Kingdom, Switzerland, or other jurisdictions with cross-border transfer requirements, PlayerAQ will use appropriate transfer mechanisms and provide any required supplemental notices.
14. Communications
We may send administrative, transactional, billing, security, and service-related messages. These messages are part of the Service and may not be fully optional while an account remains active.
We may send marketing communications to Organization administrators, coaches, or adult users where permitted by law. Recipients can opt out of marketing emails by using the unsubscribe link or contacting us. We do not send behavioral advertising to students based on student personal information.
For Canadian recipients, PlayerAQ will send commercial electronic messages only as permitted by Canada's Anti-Spam Legislation (CASL), including any required consent, sender identification, contact information, and unsubscribe mechanism. Transactional, account, billing, security, training, and service messages may still be sent where permitted by law.
15. Canadian Privacy Rights and Cross-Border Processing
Canadian privacy laws, including PIPEDA and substantially similar provincial laws where applicable, may provide rights to access personal information, request correction, withdraw consent subject to legal or contractual restrictions, and challenge our privacy practices.
PlayerAQ identifies the purposes for collecting, using, and disclosing personal information in this Privacy Policy and limits collection, use, disclosure, and retention to purposes that are reasonable in the circumstances, needed to provide or improve the Service, authorized by the user or Organization, or otherwise permitted by law.
Personal information from Canadian users may be processed in the United States, Canada, or other countries where PlayerAQ or its service providers operate. As a result, information may be accessible to courts, law enforcement, national security authorities, or regulators in those jurisdictions. PlayerAQ uses contractual, technical, and organizational safeguards designed to protect personal information handled by service providers.
Canadian users may contact legal@playeraq.com to ask questions, exercise privacy rights, or challenge compliance. If we cannot resolve a concern, Canadian users may have the right to contact the Office of the Privacy Commissioner of Canada or an applicable provincial privacy regulator.
16. Third-Party Links and Services
The Service may link to third-party websites, app stores, payment processors, support resources, or connected sports platforms. Their privacy practices are governed by their own policies. PlayerAQ is not responsible for third-party privacy or security practices.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If changes are material, we will provide reasonable notice through the Service, by email, or by other appropriate means. The updated policy will be effective as of the date stated above unless otherwise stated.
